How to deal with free samples


For samples or giving products for free, we recommend adding or treating these in a normal quote or sales order but enter them with a 100% line discount.
This way is flexible because sometimes the customer buys some products and then you can give them a free sample in the same quote or order.
 
Hence:
  • Don't have to create separate product codes, i.e. use normal products
  • The customer can see how much they are saving or the samples' normal sell prices
  • Because it is set to 100% discount, this product line will not be added/counted in the invoice total
  • To run a report for samples sold/dispatched for any particular period, go to:
    • Reports menu, then Sales reports
    • Then "Invoice details report"
    • Tick the "Show 100% discount or Samples only" button
    • This gives you who got which products for free and the total cost of these products
See below for an example of adding a product with a 100% discount and also add a note to say "Free sample":
