Introduction to opportunities

What is an opportunity?

A company marked as an opportunity is a deal or tender that your business is aiming to win. It is the midway point in the sales opportunity process, converted from a lead (if your business uses leads) and preceding the quoting procedure.

You can set different stages (e.g. prospecting, follow-up, won, or lost) to each opportunity based on the progress your business is making toward securing (winning) the deal or project.

Once a linked quote is confirmed and invoiced, the stage of the linked opportunity will be updated to "won" automatically.

  View or edit an existing opportunity.
  Switch between viewing all opportunities or only open ones.
Viewing all opportunities will also display won (converted) and withdrawn opportunities.

By default, opportunities are displayed in columns with drag & drop. The table format is shown in this image.

 

 
 
Using the opportunity editor
Create a new opportunity

On the Opportunities page, click +Add opportunity to open the opportunity entry page. To get started:

  1. Select the current stage of the opportunity.
  2. Select a company/customer.
  3. Enter the total value of the deal.

 

Assign an opportunity stage

On the opportunity entry page, use the Stage dropdown list to select the current status of the deal.

The default opportunity stages are:

  • Prospecting
  • Preparation
  • Approach
  • Presentation
  • Handling objections
  • Follow-up
  • Withdrawn
  • Won - when an opportunity reaches this stage, it's converted into a customer. You can view conversion rates on the CRM dashboard.
  • Lost - the opposite of the won stage, indicating the opportunity was unsuccessful.

You can customise (add, remove, or edit) these stages by clicking the pencil icon next to Stage or via the opportunity stages settings page.

 

Linking an opportunity directly to a quote saves you from having to manually re-enter the same information. Once the linked quote is confirmed and invoiced, the stage of the linked opportunity will be updated to "won" automatically.

To link an opportunity to a new or existing quote, click Link to quote at the top of the opportunity entry page.
