Sales order reminders


You can utilise the functions offered by sales order reminders to review orders and quotes and to send customers reminder emails.

 

Configuration

To enable the sales reminders, configure these settings:

For example:

Both settings "Reminder gets triggered on these user statuses" and "No. of days after triggered" are required for the reminders to work.

After these settings are completed, Qblue will begin recording the orders and quotes that need to be reminded. Please note that orders or quotes saved before this change will not be retroactively reminded (unless they are re-saved).

Reminder gets triggered on these user statuses

When saving an order/quote, the system checks and if the user status belongs to one of the configured, the order/quote will be added to the reminder check list.

For example: Quote emailed. Qblue sets the initial timestamp of when the quote that has been emailed. After the "No. of days after triggered", this quote will appear in the reminders list.

 

Reminder gets completed on these user statuses

If the user status for an order/quote is set to one of these statuses, the system will take the order/quote off the reminders list.

For example: Quote confirmed, Quote rejected, Quote accepted

Note, the order will be taken off reminder automatically when its status is changed to part fulfilled, fulfilled or cancelled.

Settings > Email templates > "Sales reminder - general" and "Sales reminder - final"

 

How it works

The system shows a reminder message on top of the sales orders list if it finds any quotes or orders that meet the criteria based on the aforementioned preset values.

For example:

Click onto the hint message will bring up the reminders list.

On the list, click on a quote or order to view the functions that are available. These include:

  • Set the next reminder date
  • Make notes and view notes history
  • Email general reminder - using the general reminder email template
  • Email final reminder - using the final reminder email template
