Bills


The bills page displays a list of all supplier bills and credit notes. Once purchase orders are received, they turn into bills and appear here.

You can search by order number, bill number, supplier name, or supplier reference. You can also filter the list by date range, location, and other available filters.

 

Edit bill details

On the bill view details page, if the bill or credit note hasn't yet been exported to Xero, you can still edit the following fields by clicking Edit button :

  • Bill number (provided by the supplier)
  • Due date
  • Channel source
  • Payment term

Click Save button to confirm the changes. All changes will be recorded in the audit log for that bill or credit note.

Note: you can lock specific periods in which bills were created to prevent them from being edited. To do this, go to the settings page (Settings, then scroll to the bottom > Lock specific periods). You can either:
  • Set a specific number of days from today's date after which bills will be locked, or
  • Have the option to lock any monthly period by entering "Yes" next to the month(s) you want to lock.
Only administrator users can access this settings page to lock or unlock specific periods.

 

Create a purchase return

On the bill view details page, you can create a new purchase return by following these steps:

  1. Select one or more product lines to return.
  2. Click Actions, then select Create purchase return.

A new purchase return order will be created based on your selection. You can find it on the purchase orders page. From there, you can edit its details, including adding or removing product lines.

Leave the purchase return as unprocessed and update notes or user statuses to track its progress. To complete the return of goods and credit note, proceed through the same process as receipting a purchase order. 

 

Set bill as API ready

Before a bill or credit note can be exported to Xero, it must be set as API ready. By default, bills are automatically flagged as API ready when orders are received. You can manage this setting from the purchases settings page.

To manually set one or more bills as API ready, go to the bills page (Purchases > Supplier bills) and select the bills or credit notes you want to update. Then, click Toggle API ready.

When viewing a bill, you can also set it as API ready by toggling'API ready' toggle button on.

 

Sync to Xero

If there's an active Xero connection, you can click Sync to Xero to upload any unsent bills or credit notes to Xero.
