On Qblue Inventory, this is how we identify a product and a variation.

  • List (or parent) product: a product can have multiple or different variations. It is the product that you see on most the product listing pages on e-commerce websites. So sometimes it's called a list product or parent product.

    A classic example for a product is one pair of shoes. It comes with different sizes (e.g. US 5, US 8 or US 12) i.e. each size is a variation to this pair of shoes. All variations of this product share common attributes including description, website Html body, photos and categories.

    Product attributes such as Product Type, Categories and Tags are set against the list product.
     
  • Sku variation: this is the actual product item that gets sold or purchased. It holds inventory on hand, unit costs as well as inventory movement transactions. One variation can only belong to one list product.

 

Creating a new product

On the products page, click "New product", it needs the following:

  • Description: the title of the product, maximum number of characters if 250
  • Product type: a product classifcation. It can be the same as level 1 category. If you have access, click on the edit icon to edit or add types. A product type can have its own default Titles for variations (see below). Also for the Xero integration, each type can have its own GL accounts that are different to the overall GL set accounts.
  • Status: it defaults to active. If it is set to archived or draft, it will not be uploaded to sales channels like Shopify or Trade Me. To setup extra statuses, go to Settings and click on "Product status" in the Products section.
  • Titles for variation options: enter different values for the new product e.g. Size
  • First variant: enter the details for the first variation including Sku and selling prices.
  • Categories: Qblue Inventory caters
    • for 4 levels of categories. Although it is not common to have these many levels on a typical e-commerce website.
    • each product type can also have up to 2 custom category titles
  • Images: you can upload up to 10 images at the same time. It offers a drag & drop function which makes it easier for choosing files to upload.

 

Html description

This is the detailed description that will be used for uploading to e-commerce websites. Note, for some websites suck as
Trade Me, Qblue automatically strips out the Html tags as Trade Me accepts only text.

There are functions for you to upload a Youtube video or paste Html text from a website.

 

Images

On the images page, you can

  • Upload new images
  • Choose the default image for the product or for a variation
  • Delete the images that are no longer needed
  • Reorder the display of the images. This is useful when the images are uploaded to the e-commerce websites.

How to view product transactions

  • When on the product variation edit page, click "Transactions" on the left access menu
  • When on the product information page, enter/search for the sku, then click on the name of a location from the Location column
    This will show all transactions for the product for the Default location
