Bookmarks: How to process a refund

System checks

This step is very important for a smooth connection.

Please perform the following checks before any pairing attempts:

  • Check and perform firmware updates on the terminal
  • Ensure the terminal is fully charged
  • Ensure your Square account is activated

Cash registers

Each cash register represents a cash till and each one can be linked to a Square location that is setup in your Square sellers account.

Ensure the cash register has a "Eftpos integration method" set to Square Terminal.

 

Payment methods and cash registers

A. Set the payment method "Eftpos or credit card" to link to Square Terminal integation, see below

 

B. Set the cash register to link to Square by editing the cash register and choose a "Eftpos integration method".

 

Connecting to Square

Before the system can communicate with your Square Terminal, you must authorize the connection.

To do this:

  • Go to Integrations
  • Square
  • Click "Connect to Square"
  • Click Authorize or Allow access

After the connection is made, the system downloads the list of locations from your account.

 

Pairing your Square Terminal

Pairing establishes a handshake action and this allows the system to talk to your Square Terminal.

To pair:

  • On another browser tab window, login into your Square sellers account
  • On Qblue, go to Integrations
  • Square
  • Settings
  • In the list of the available locations, click on a location
  • Ensure the location is mapped to a cash register
  • Click Pair Now
  • A device pairing code is displayed

Then on the Square Terminal unit:

  • Press Login using Device code
  • Type in the pairing code
  • The terminal performs a few checks and/or updates
  • When you see the Square logo in a black screen, it is now ready to use
  • And on Qblue, it should return and inform you that the unit has been paired.

On the terminal itself, to bring up the menu, you can swipe the screen from the left hand side, it should appear like this:


After a successful pairing, the POS payment is now available to use.

 

How to process a refund

The sales return order must be connected to an invoice that has been paid using the Square Terminal in order for a refund to be processed.

Here are the steps on processing a refund on the point of sale:

  • Click Actions
  • Choose "Create sales return"
  • From the list of invoices, search for the customer's name or invoice number
  • Click to bring up the invoice
  • Select one or more of the product lines to be returned
  • Click Actions
  • Click "Create sales return"
  • Click Pay and choose Square Terminal to start the refund process
