How to receive multiple supplier bills for the same PO?
To create multiple supplier bills for the same PO, and for multiple supplier deliveries:
If this PO is in local currency:
-
For the first bill, receive the items (for example: only the first item) got invoiced in this bill:
-
In the "Quantity to receive" column, enter only the qty received in this bill, and leave other item boxes blank
-
Enter the bill/invoice number into "Supplier invoice/bill number or reference"
-
Enter the bill date into "Receipt bill date"
-
For local POs, to create a bill straight after the receipt, leave this box ticked "Automatically create a bill after receive"
-
After the receive, a new bill will be created
-
At this stage, the PO's status is part fulfilled
-
Repeat the above to receive the subsequent bill or the subsequent delivery
For overseas POs:
-
There is an extra step required after the PO receipt (step 1), click "Enter landed cost bills" to enter the supplier bills on the landed cost calculations page, or open the PO, and click "Create bill"
-
When ready, post the landed cost bills
-
These bill(s) will be created, and the PO's status will be set to part fulfilled
-
Repeat the above to receive the subsequent deliveries
For POs on Received Awaiting Bill:
-
When the products are sold before the landed cost calculation is completed, the cost of goods sold will use the last landed cost, or for brand new products, it will use the last buy price.
-
After the landed cost calculation is completed & posted, Qblue performs a re-check to balance any difference in the new cost vs the last cost of goods sold, and the differences will be uploaded to Xero via a cost variance batch (coded to Cost variances GL).
To complete these POs, open each one, then click "Create bill" to fill out the supplier bill details.
Please note that, if the associated or the same supplier bills have already been entered into Xero, to prevent double ups when the bills are uploaded to Xero, you can control which bills you want to send to Xero. To do this:
-
Firstly, disable the automatic set bills to Api ready:
-
When this setting is OFF, every new bills created on Qblue will not be automatically sent to Xero
-
To send new bills to Xero:
-
Go to Purchases menu > Supplier bills
-
Search for the bill(s)
-
Tick the box on the left
-
Click " Toggle API ready"
-
By doing this, the "Api ready" column will have a green tick, this indicates that the bill will be sent to Xero in turn
