Zoho CRM Quotes


The Zoho CRM integration is a one-way interface for importing new quotes into Qblue.

 

Requirements:

 

Get connected:

  1. Click on your name initials (top-right)
  2. Click Integrations
  3. Click ZOHO CRM Quotes Import
  4. Click Settings on the left
  5. Click Connect
  6. Follow the on-screen prompt to accept and authorise the connection

 

Required settings:

After the connection is established, check the following settings which are mandatory:

  • Zoho server: this option will be automatically set for you as soon as the connection is made
  • Your organisation: choose your organisation name from the dropdown list

When ready, click Save at the top

 

Optional settings:

  • Automatically create new products that are not existed on the system: the default option is toggled on. If this option is off, the quote import will stop when there is an unknown product SKU.
  • Fetch from date retrospectively: by default, the system gets new quotes starting from today. Enter a from date to import previous quotes.
  • Limit to these quote stages (separate multiple entries with a comma): by default, the system imports only quotes modified in the past 24 hours. For example: Negotiation,Delivered,Confirmed

 

Imported quotes:

The quotes can be found from the sales orders page, and they will be imported like this:

  • Order no.: the next system sales order number
  • Customer: the system checks to find an existing customer card file by the account name, then the contact's email address. If not found, then a new customer will be created. When a contact is assigned to the Zoho CRM quote, then the contact details (such as first & last names, email address) will be imported.
  • Status: sets to Quote
  • User status: this is the Zoho CRM quote stage
  • Customer reference: this consists of Subject + Quote Number, and the Zoho channel name

Quote line items:

  • SKU: Zoho CRM's product code
  • Description: product name
  • Quantity: quantity
  • Price: list price
  • Price discount: a unit fixed-value discount amount. For example: if the Zoho CRM quote line item's total discount amount is $1000, and the quantity is 10, then the price discount is imported as $1000 / 10 = $100

 

Notes on the tax amounts:

  • Zoho CRM quote provides the ability to set line item tax as well as an overall quote tax, for example:
    • Line item tax is 10% of value
    • The quote itself can also set a 10% tax
  • Qblue does not allow the two mixed as we consider it a double tax. How the import works is:
    • The system applies a tax rate to the overall quote if the line items have no tax values. The tax type for the quote is set to tax-exempt if the quote tax amount is zero.
    • The quote will be imported as tax exclusive with some of these items set to tax-exempt if some line items have tax and/or other items do not.
