Bookmarks: Steps for doing a warranty job | Sample video on how to create a new task or job

On Qblue Inventory, tasks and notes are mostly the same. They have the same structure and the same data entry UI. The only difference is the note type.

Use the tasks & jobs system to:

  • Record and manage customer returns warranty
  • Provide a quotation for the job so the client can decide whether to proceed.
  • Keep track of jobs to do
  • Keep track of the products that customers have returned to see which ones they do so often
  • Record serial numbers for replacement products or parts
  • Upload photos and record them against the job
  • Record a note
  • And so on

 

Task types (on settings)

  • To do: tasks to be done
  • Followup
  • Meeting
  • Visit on site

The above are the system defaults. To add or edit the task types, click on the pencil icon next to the task type dropdown box or go to the Settings page.

 

Priorities (on settings)

  • Urgent
  • High
  • Normal
  • Low

Set the calendar appointment for the task to appear on the Weekly calendars page.

Currently there is no integration with Microsoft Outlook or Google Calendars.

 

Editing/adding a new task or note

 

Steps for doing a warranty job

  1. Raise a task job as per normal
  2. Select the job type to "Warranty" (if this is not available, click on the pencil icon next to the job type drop down to add one)
  3. Enter a description of issue
  4. Record the product that has been (or to be) returned by using the "Add customer product" button (so that you can run a report to view a list of products returned)
  5. Enter a replacement product into the "Invoice product entry" section at the bottom of the task job entry page
  6. Tick "Warranty free" to set the charge value to zero
  7. If required, add other items needed, for example: labour or parts
  8. At this stage, there are several options:
    • Link the job to a quote
    • Change the job status, for example: "Sent to supplier"
    • Upload photos and documents
    • Print labels
    • Print the job sheet
    • Send SMS messages to update the customer about the job status
    • Record service notes and what has been done
    • Change the job status
    • Log timesheets
  9. When the job is completed, create an invoice to charge the customer and to commit stock adjustments for the replacement products

A new task or job only needs the bare minimum information, such as the customer card file and a brief job description.

The demo video also demonstrates how to upload images and documents to be saved on the task, as well as how to add a conversion or remark.

 

When a customer returns an item for warranty reasons, a new task should be created. It could begin by determining whether the item's serial number was registered on the system and to see whether it was purchased from the store or from another location.
